Introduction
The Human Resource and Administration Manager will be responsible for ensuring that the office is operationally efficient and effective. He/She will be responsible for setting strategic human resource and administrative direction; providing a perspective on growth and expansion; and supporting and sustaining a culture that is in line with our core values.
Minimum Requirements
Qualifications, skills and Competences
- Degree in Human Resource
- Higher Diploma in human Resource Management is an added advantage
- At least 5 years of progressive and hands-on HR generalist and supervision experience, with at least 2years at managerial level
- Experience in customer support and administrative services roles
- Must have hands on experience in HRMIS.
- Strong oral and written communication skills.
- Ability to work as a team with staff at all levels.
- Excellent analytical skills and sound judgment.
- Member with Institute of Human Resource Management.
Job Specification
Role & responsibilities
- Human Resource Functions
- Ensure that all employment practices, compensation, employee benefits, and human resources programs are within established standards, procedures, guidelines, and policies of APP and local labour laws.
- Maintain contact with the labour industry, other organizations and government departments to keep abreast and updated on developments that are relevant to the human resources process in APP.
- Facilitate periodic review and update of Human Resources policies and procedures in line with changes in the regulatory and labour environment.
- Coordinate the performance management process to ensure that it is effective and that it is linked to the staff development programmes.
- Coordinate staff training and development programmes. This includes training needs analysis, evaluation of training, feedback to management, and coordination of special programmes.
- Coordinates the human resources planning process including staff recruitment and selection process for the organization.
- Manages the process of staff appointments, which includes issuance, renewal and termination of contracts.
- Presenting and managing the induction for all new staff/volunteers & interns
- Ensures provision of administrative support, which includes employee file management and payroll administration.
- Ensures that APP maintains good employee and industrial relations through well managed staff welfare schemes, a healthy and safe working environment, effective management of disciplinary and grievance issues, and effective communication processes.
- Coordinates employee related legal issues and advise management on appropriate course of action.
- Ensures adequate insurance cover for staff, property and equipment of the organization are in place.
- Preparation and monitoring of Human Resource and Admin budgets.
- Generating, managing and sharing staff leave report and keeping track of their time off.
- Support on staff relation and escalate issues to the Country Director as appropriate.
- Act as a change management catalyst within the organization; include career development.
2. Administration
- Logistical planning; Booking of flights, accommodation, transfers, conferencing and meetings.
- Supervise the maintenance of APP premises, furniture and equipment to ensure that they are in good working condition.
- Requisitioning and seeking approvals for country director expenditures.
- Oversee the office and apartment utilities paid in time.
- Monthly updating on google drive staff list, visitors and staff visiting prisons.
- Oversee the general running of the office.
3.Procurement
- Devise and use fruitful sourcing strategies.
- Discover profitable suppliers and initiate business and organization partnerships.
- Negotiate with external vendors to secure advantageous terms.
- Approve the ordering of necessary goods and services.
- Finalize purchase details of orders and deliveries.
